You may already have an electronic document storage system within your organisation which is currently used for a very specific task or for the processing of new documents only. This will almost certainly have the capacity to store your mountain of legacy documents, however the time and effort it would take you to scan this yourself is probably prohibitive due to the fact that the scanner is suitable for current documents rather than the vast quantities of legacy paperwork you have stored away, the paper is not stored with scanning in mind and you simply have more than enough to do keeping on top of current work and doing what you do best. If this is the case then you are perfectly placed to take advantage of our bureau scanning services because document scanning is what we do best, we understand not only the technology but also the part documents play within organisations and how they interact with the business process.
Microfilm has for a while played a part in the document archival strategies of many companies. Documents currently stored on microfilm and microfiche can be utilised and fully integrated into the same systems as your paper documents using our microfilm scanning bureau.
We are often asked: "Document scanning is very well but my documents are all shapes and sizes, can PaperMountains still help me?". To which we answer a resounding "YES!" We have chosen our scanners and software so that we are able to scan even the trickiest of documents at any thickness in sizes up to A0 plans and drawings. If you do not want to destroy the bindings then our book scanning service is what you require.
Electronic Archiving of paper documents is something many organisations have tried on a project by project or department by department basis over the years. If your company is like this with small legacy EDM systems spread throughout then we at PaperMountains are able to migrate these images and data onto one unified platform and format. PaperMountains has a data conversion service which will automate and streamline this process for you drawing on a wealth of experience with many legacy EDM systems including Canofile.

Security of documents means far more than just who can and can't see them, although this is an area that any organisation should be concerned with. Today companies spend vast ammounts of money backing up their computers every night and entering into disaster recovery contracts that would allow their staff to have an desk, phone and computer with access to all their systems in the event of the destruction of their offices, however very few pay any thought to what these staff would do if they needed to see a document which was only held on paper. Perhaps this is because the fileing system which has served them for years unnoticed has slipped below their radar because of the attention paid to computers, perhaps it is because 'they don't think it could happen to them' or perhaps it is because they think 'you can't back up a file cabinet'.
Our research has shown that in most cases it is the later, people know how suseptable to FIRE, WATER and WIND paper is , you anly need to watch the news to see the ammount of paper blowing down the streets after any explosion, fire or building colapse, yet it is just too impractical and costly to take a photocopy of everything they store and move it off site so they cross their fingers and run the risk because they think they have no alternative. They are WRONG, you can back up your paper as quickly and as easily as you back up you accounts, email or SAP system simply by scanning it to an electronic archiving system and treating that electronic archive in the same way you would any other IT System.

Would you know what had gone until it was needed in the future? As an added bonus you can add password to and encrypt all of your electronic documents so that in the event of them getting lost or stolen they cannot be read by anyone else.
The PaperMountains' methodologies for scanning and indexing documents whether they be paper, microfilm, book or drawing coupled with the high accuracy of our index data capture process means you should never loose a document again, however we understand there are some documents you feel you just can't get rid of such as contracts or critical compliance documents, the loss of which could prove highly costly to your organisation. Our experience tells us however that when the authenticity of an electronic document is challenged in such a way the other party will drop their insistence on the original paper document being produced when they know it exists and the document and imaging process is shown to them.
